The Opportunity

FCC is a large company with many subsidiaries spread across New Zealand including Higgins, Brian Perry civil, Fletcher living and Fletcher building. Each time one of these companies has a contract to do they hire contractors to do the work, each of these contractors first needs to be pre-qualified.

Each of the companies within Fletcher Construction use the same pre-qualification form but all had different processes with inefficiencies in place for how they would process and store the document on completion, this disconnect between companies and lack of unification meant that contractors were having to complete the form each time they wanted to do a job with any Fletcher Construction company. We were brought on to help streamline and digitise the process by creating a dynamic online form that subcontractors would only need to do fully once, and then make updates when their business has changes, or to upload new certificates.

The solution also needed to integrate with Fletcher’s existing solutions and be dynamic enough to be one size fits all, as contractors could be any size from large multinational companies to a small company consisting of one person and a digger. On this same platform, Fletcher staff are also able to approve/deny Subcontractors, this information is then saved all in the same place, meaning all staff across the country can see which reviewers are pre-qualified and which aren’t.

The Process

Fletcher Building had changed what it was looking for in the old pre-qualification form, meaning that the form now had some bloat to it that would be unnecessary to the new online form. Our first step in the process was working with the Fletcher team to review and analyse the form, and then cut it down to its essential sections and questions.

The next step involved wireframing and then creating an interactive prototype. The prototype went through multiple iterations through discussions with Internal stakeholders, and pilot users of the form from large to small companies to make sure the form would fit all sizes of business. From these sessions with stakeholders and users we would take feedback and then update the prototype as needed.

One of the final steps of the process was integration testing with internal systems within Fletcher Building. The sensitive nature of some of the information within the form meant we needed to make sure our product integrated with their internal systems correctly and adhered to Fletcher Constructions strict security practices

The Result

We created an online dynamic form that allows Contractors of all sizes to easily be able to fill out the form, and only have to do the complete process once, the admin side of the form allows Fletcher staff to easily assess the form and decide if they want to approve or deny the subcontractor for Prequalification.

Single sign-on for internal staff and unified sign-in for external contractors, makes this form easy to access for both users.

The form was designed with change and the future in mind, meaning we designed the form so that updates to any questions and sections can be done easily. So as building practices around New Zealand change and Fletcher needs to update the form it will be easy for them to do so.
